Teams & Permissions

ClearCMS has two types of workspace -- personal and team. Roles control what each person can do.

Site editors are unlimited and free on every plan, including the Free plan. You only pay per seat for organization members who need access to the central dashboard and settings. Invite as many content editors as you need at no extra cost.

Personal vs. team workspaces

Personal workspace

When you sign up, you get a personal workspace automatically. This is your own space for managing sites.

  • You are the owner — you control billing, settings, and the sites you create.
  • You can invite unlimited editors to any site, on any plan (including Free).
  • Invited editors see the site in their account as a shared site. They can edit content but cannot see your dashboard, analytics, billing, or other sites.
  • You cannot invite someone as an admin on a personal workspace. If you need shared management, create a team workspace.

Team workspace (organization)

Team workspaces are for groups that need shared access to all sites and a central dashboard.

  • Org members see all sites from a central dashboard.
  • Org plans charge per member. You pay for each org member.
  • Site editors (invited to individual sites) are still unlimited and free.

Site editors vs. org members

These are different access levels:

Creating a team workspace

  1. Go to Organizations in the sidebar
  2. Click Create Organization
  3. Enter a name and web address
  4. Choose a team plan
  5. Click Create

You can have both a personal workspace and be a member of team workspaces at the same time.

Inviting people to a site

  1. Go to Site Settings > Members
  2. Click Invite Member
  3. Enter their email address
  4. Select a role (Viewer, Editor, or Admin)
  5. Click Send Invite

Invitations expire after 7 days. The person receives an email with a link to accept.

Roles and permissions

ClearCMS has five roles with increasing levels of access. Click a role or permission to highlight.

Role details

  • Viewer — can see content but cannot change anything. Good for clients previewing their site.
  • Editor — can create, edit, and publish content. Can only edit content they created. Cannot change page structure (add, remove, or reorder sections) or access settings. This is the default role for site editors.
  • Admin — full content control including deleting and editing anyone's content. Can add/remove sections, manage users, and change site settings. Cannot access billing or schema configuration.
  • Developer -- everything an admin can do, plus access to advanced settings. For technical team members.
  • Owner -- complete control including billing and all settings. One per personal workspace. Team workspaces can have multiple owners.

Editor limitations

Editors are designed for content work. They can write and publish, but they work in a "content-only" mode:

  • They can only edit content they created (admins can edit anyone's)
  • They cannot add, remove, or reorder page sections — only fill in the content within existing sections
  • They cannot access settings, user management, or imports

This makes the Editor role safe for outside contributors, freelance writers, or clients who need to update their own content.

Managing members

Changing roles

  1. Go to Site Settings > Members (or Organization Settings > Members for org roles)
  2. Find the member
  3. Click the role dropdown
  4. Select the new role

Removing members

  1. Find the member in the members list
  2. Click Remove
  3. Confirm removal

Removing a member revokes their access immediately.

Activity logs

Track what your team is doing:

  1. Go to Settings > Activity (admin+ only)
  2. View recent actions by all members
  3. Filter by user, action type, or date

Logged activities include content edits, publishing, member changes, and settings updates.

Best practices

  • Give editors to content creators. They can write and publish freely without risk of breaking page layouts.
  • Use admin for trusted team members who need to manage page structure and settings.
  • Invite clients as viewers so they can preview without making changes.
  • Use a team workspace when multiple people need to manage sites together. Personal workspaces are for individual ownership with content helpers.
